1. Purpose

The purpose of these General Terms and Conditions of Sale (the "Terms") is to define the conditions under which the Organizer offers tickets for sale for AI Summit Barcelona 2026 (the "Event") and any associated events under the AI Week Barcelona programme.

These Terms apply to any individual (the "Attendee", "you", or "your") who purchases a ticket or registers for the Event. By completing the online registration and/or purchasing a ticket, you confirm that you have read, understood, and accepted these Terms in full and agree to be legally bound by them.

If you are registering on behalf of another person, it is your obligation to ensure that the person attending is aware of these Terms and accepts them.

These Terms include and incorporate by reference our Privacy Policy, available at aisummitbarcelona.com/privacy.

2. Organizer

The Event is organized by French Tech Barcelona (CIF: G67389114), acting on behalf of AI Events Barcelona (in constitution), hereinafter referred to as the "Organizer".

3. Event Details

Event: AI Summit Barcelona 2026

Main Event Dates: 22-23 September 2026

AI Week Barcelona: 16-23 September 2026

Venue: World Trade Center Barcelona, Moll de Barcelona, s/n, 08039 Barcelona, Spain

The Organizer reserves the right to modify event dates, venue, or format in accordance with Section 9 of these Terms.

4. Ticket Categories, Pricing and Perks

4.1 Ticket Categories

The Organizer offers multiple ticket tiers. Currently available tiers include:

Additional ticket categories (e.g., Student/Academic, Group, Hackathon, Speaker, Sponsor, Press) may be offered at the Organizer's discretion. The specific categories, perks, and availability at the time of purchase will be displayed on the ticket sales page at aisummitbarcelona.com.

The Organizer reserves the right to create, modify, or discontinue ticket categories and their associated perks at any time prior to sale. Changes will not retroactively affect tickets already purchased.

4.2 Pricing

All ticket prices are displayed in Euros (EUR) and include applicable VAT (IVA) at the rate in force at the time of purchase. The Organizer applies tiered pricing phases (e.g., Very Early Bird, Early Bird, Standard, Late Registration). The applicable price is the one displayed at the moment of completing the purchase. Prices already purchased will not be affected by subsequent price changes.

4.3 Promotional Codes

The Organizer may issue promotional or discount codes subject to specific terms including validity period, applicable ticket types, and usage limits. Promotional codes cannot be combined unless explicitly stated.

In the event of fraudulent use of promotional codes, the Organizer reserves the right to automatically cancel the registration and withhold a fee of 15% of the order value (including tax) as administrative compensation. The Attendee will be informed by email. This procedure may be performed until 2 days before the Event.

4.4 Eligibility

Certain ticket categories (e.g., Student/Academic, Developer) may come with strict eligibility requirements as stated on the website at the time of purchase. If an Attendee has purchased a ticket that does not correspond to their category, they will not benefit from the rights attached to that ticket, including event access, and will not be entitled to a refund.

5. Purchase Process and Ticket Delivery

5.1 How to Purchase

Tickets are sold exclusively through the official website aisummitbarcelona.com or through authorized ticketing partners designated by the Organizer. Tickets purchased from unauthorized resellers or third-party platforms are void and will not be honored at the Event.

5.2 Order Confirmation

Upon successful payment, the Buyer will receive an order confirmation email with a unique order reference number. This confirmation constitutes proof of purchase. If you do not receive a confirmation within 24 hours of payment, please contact info@aisummitbarcelona.com.

5.3 Ticket Delivery

Important: The official event ticket (including your personalized QR code for event access) will be delivered electronically to the email address provided during registration approximately one (1) month before the Event date. The order confirmation received at the time of purchase is not the event ticket. During the period between purchase and ticket delivery, your order confirmation email serves as your proof of purchase.

The Organizer will communicate the exact ticket delivery date via email to all registered attendees. If you do not receive your ticket within the communicated timeframe, please contact info@aisummitbarcelona.com.

5.4 Payment Methods

Accepted payment methods include major credit and debit cards (Visa, Mastercard, American Express) and any other methods made available on the checkout page. All payments are processed by third-party payment service providers. The Organizer does not store full credit card details. In case of rejection of payment or non-payment by bank transfer within ten (10) business days, the sale may be cancelled by the Organizer.

5.5 Invoicing

A valid invoice will be issued for each purchase in accordance with Spanish tax law (Ley 37/1992 del IVA). Invoices will be issued by French Tech Barcelona (CIF: G67389114) and sent electronically to the email address provided during purchase. For company purchases requiring specific invoicing details (company name, CIF/NIF, address), these must be provided at the time of purchase.

6. No Right of Withdrawal and No Refunds

In accordance with Article 103(l) of Royal Legislative Decree 1/2007 (Texto Refundido de la Ley General para la Defensa de los Consumidores y Usuarios), and EU Directive 2011/83/EU, Article 16(l), the right of withdrawal does not apply to contracts for the provision of leisure activities where the contract provides for a specific date or period of performance.

As tickets for the Event correspond to a specific date and venue, all ticket purchases are final. No refunds will be issued for any reason, including but not limited to: inability to attend, scheduling conflicts, travel disruptions, visa issues, or personal circumstances.

The ticket remains the property of the Organizer and constitutes a personal, revocable license granting the Attendee access to the Event, subject to the terms herein. This license may be withdrawn and admission refused at any time in accordance with Section 10 of these Terms.

No ticket can be exchanged, even in case of loss or theft of the order confirmation or ticket.

7. Ticket Transfer and Name Changes

Tickets are nominative and personal. As a general rule, tickets cannot be transferred to a third party.

As an exception, the Buyer may request a name change by contacting info@aisummitbarcelona.com at least fourteen (14) days before the Event. A name change fee of 25 EUR applies per transfer. The Organizer will void the original ticket and issue a new registration code to the new attendee.

The Organizer reserves the right to verify the identity of the new attendee at registration. Only one name change is permitted per ticket. Resale of tickets for profit is strictly prohibited. Tickets obtained through unauthorized resale may be cancelled without refund.

8. Session and Space Capacity

A valid ticket guarantees access to the Event venue. However, access to individual conference rooms, stages, workshops, and specific zones is subject to available capacity and cannot be guaranteed. Depending on attendance, some sessions or areas may reach maximum capacity.

The Organizer will make reasonable efforts to manage crowd flow and provide alternative content options, but no refund or compensation is owed if a specific session or area is full.

9. Cancellation or Modification by the Organizer

9.1 Event Cancellation

If the Event is cancelled entirely by the Organizer and not rescheduled, the Attendee will receive a full refund of the ticket price paid. Refunds will be processed within 30 business days to the original payment method.

9.2 Event Postponement or Rescheduling

If the Event is postponed or rescheduled, tickets will remain valid for the new dates. Attendees who cannot attend the new dates may request a full refund within 14 calendar days of the rescheduling announcement by writing to info@aisummitbarcelona.com.

9.3 Material Change of Format

If the Event format is materially changed (e.g., moved to a fully online or hybrid format), tickets will remain valid. Attendees who do not wish to attend the modified format may request a full refund within 14 calendar days of the announcement.

9.4 Force Majeure

The Organizer shall not be liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond its reasonable control ("Force Majeure"), including but not limited to: natural disasters, pandemics, epidemics, government actions or restrictions, strikes, terrorism, armed conflict, fire, flooding, power outage, venue unavailability, or failure of telecommunications infrastructure.

In the event of cancellation due to Force Majeure, the Organizer will make commercially reasonable efforts to reschedule the Event or offer ticket credits for a future edition. If neither is possible, the Organizer's liability is limited to refunding the ticket price paid, less any non-recoverable third-party costs already incurred (payment processing fees, platform fees).

9.5 Programme Changes

The Organizer reserves the right to modify the event programme, including speakers, session topics, schedule, track lineup, and venue layout, at any time without prior notice. Changes to the programme do not constitute grounds for a refund. The Organizer will endeavour to communicate material changes via the website and email.

9.6 Exclusion of Consequential Costs

The Organizer is not liable for any travel, accommodation, visa, or other costs incurred by the Attendee in connection with a cancelled, postponed, or modified Event.

10. Event Access and Conduct

10.1 Admission

Access to the Event requires a valid ticket or accreditation and a valid government-issued photo ID (ID card or passport). The information on your ID must match the name on your ticket registration. If the information does not match, the Organizer reserves the right to refuse entry without refund.

10.2 Badge and Identification

Each attendee will receive a personalized event badge and/or wristband upon check-in. The badge must be worn visibly at all times during the Event. Lost or damaged badges may be replaced at the registration desk, subject to identity verification and an administrative fee as communicated on-site.

10.3 Code of Conduct

All attendees are expected to behave respectfully and professionally. The Organizer reserves the right, at its sole discretion and without any liability or obligation to refund, to refuse access or remove any attendee who:

  • Behaves in a manner that is disruptive, threatening, discriminatory, or otherwise inappropriate
  • Represents a security or health and safety risk
  • Fails to comply with these Terms, applicable laws, or venue rules
  • Engages in unauthorized promotion, advertising, or solicitation at the venue (unless part of an authorized sponsor or partner team acting in their designated space)

10.4 Prohibited Items and Security

The Organizer reserves the right to restrict entry of certain items to the venue in accordance with venue security policies. Attendees may be subject to security checks upon entry. You agree to comply with all security instructions given on-site.

11. Event App

By purchasing a ticket, you may be given access to the official Event App. By creating an account on the Event App, you will be discoverable and visible to other attendees within the app. By default, your contact details (email, phone number) will not be shared with other attendees. If you wish to share them, you must activate this option in the app settings.

The terms of use and data handling for the Event App are further described in our Privacy Policy.

12. Photography, Video and Recording

By attending the Event, you acknowledge and agree that the Event (or any part of it) may be photographed, filmed, and recorded by the Organizer or authorized third parties. You agree to permit the Organizer, or any third party licensed by the Organizer, to use, distribute, broadcast, or otherwise globally disseminate your likeness, name, voice, and words for a period of thirty-six (36) months after the closing date of the Event, in any media now available or hereafter developed, without further approval from you or payment to you.

If you do not wish to be photographed or recorded, please inform the event staff or photographer on-site. The Organizer is not responsible for photographs or recordings taken by other attendees or media.

Unauthorized recording: Any use of photographic, audio, video, or other recording equipment by attendees at the Event is strictly prohibited unless approved by the Organizer in writing in advance. If you take pictures or videos without authorization, the Organizer may require you to delete them and may take further action to prevent their use.

13. Intellectual Property

All content presented at the Event, including but not limited to presentations, keynotes, panel discussions, workshop materials, and event branding, is protected by intellectual property rights. Attendees are prohibited from reproducing, distributing, or publishing by any means the trademarks, logos, speeches, or presentations of sponsors, speakers, or the Organizer without prior written permission from the rights holder.

14. Speaker Views Disclaimer

Views expressed by speakers at or in connection with the Event are their own and do not necessarily reflect the views of the Organizer. The Organizer does not accept any responsibility or liability for advice given or views expressed during or in connection with the Event. Materials shared or distributed at the Event are for information purposes only and should not be relied upon as professional advice.

15. Insurance

You are responsible for arranging your own appropriate insurance cover in connection with your attendance at the Event, including travel, health, and personal liability insurance. The Organizer will not be liable for any injury or damage to any person or property except for death or personal injury resulting from the Organizer's negligence or any liability that cannot be excluded by law.

16. Limitation of Liability

To the fullest extent permitted by applicable law:

The Organizer's total aggregate liability to the Attendee in connection with the Event shall not exceed the ticket price paid by the Attendee.

The Organizer shall not be liable for: loss of profits, loss of business, loss of opportunity, loss of or damage to goodwill, loss of anticipated savings, or any indirect, consequential, or special damages, however arising.

The Organizer shall not be liable for: loss, theft, or damage to personal property at the Event; failure of third-party services (transport, accommodation, catering, connectivity); or any event beyond its reasonable control.

Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any liability that cannot be limited or excluded under applicable law.

17. Data Protection

Personal data collected in connection with the ticket purchase and Event attendance is processed in accordance with our Privacy Policy, available at aisummitbarcelona.com/privacy. By purchasing a ticket, you acknowledge that you have read and understood our Privacy Policy.

The Organizer collects personal data at the time of registration to process orders, issue tickets, communicate event information, and for the other purposes described in our Privacy Policy. We take your privacy seriously and will never transfer or sell your personal data to any third party for their own marketing purposes without your explicit consent.

18. Governing Law and Jurisdiction

These Terms are governed by and construed in accordance with the laws of Spain. Any dispute arising out of or in connection with these Terms shall be submitted to the exclusive jurisdiction of the courts of Barcelona, Spain, without prejudice to any mandatory consumer protection provisions that may apply in your country of residence.

19. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect. The invalid provision shall be replaced by a valid provision that achieves, to the extent possible, the original commercial purpose.

20. Amendments

The Organizer reserves the right to modify these Terms at any time. The version in force at the time of purchase applies to that transaction. Material changes will be communicated via the website and, where applicable, by email to registered ticket holders.
